Solvexa Technologies ("Solvexa", "we", "us" or "our") respects your privacy. This Privacy Policy explains what information we collect when you visit our website, contact us or use our Dental Clinic Manager app, how we use it, and the choices you have.
1. Information we collect
Information you give us. When you submit our contact form, we collect your name, email address, the service you are interested in, and the message you write. If you email or call us directly, we keep the details you share in that conversation.
Information collected automatically. Like most websites, our server receives technical information such as your IP address, browser type and the pages you request. We use your IP address to limit repeated form submissions and protect the site from spam and abuse.
Cookies. Our public website does not use advertising or tracking cookies.
2. How we use your information
- To respond to your enquiry and provide quotes or proposals.
- To deliver, manage and support the services you engage us for.
- To keep our website secure and prevent spam or misuse.
- To meet legal, tax and accounting obligations.
We do not sell or rent your personal information, and we do not use it for unrelated marketing without your consent.
3. Sharing your information
We share personal information only when necessary, with:
- Service providers who help us run our business, such as hosting, database and email providers, under obligations to keep it confidential and secure.
- Third-party content: our website loads fonts from Google Fonts, which means your browser connects to Google's servers. Google's handling of this data is covered by its own privacy policy.
- Legal authorities when required by law, court order, or to protect our rights, users or the public.
4. Data retention
We keep contact form messages and project correspondence only for as long as needed to respond to you, provide our services, and meet legal requirements. After that, we delete or anonymise the information.
5. Data security
We use reasonable technical and organisational measures to protect your information, including restricted access to stored messages. However, no method of transmission or storage over the internet is completely secure, and we cannot guarantee absolute security.
6. Your rights
Subject to applicable law, including India's Digital Personal Data Protection Act, 2023, you may:
- Request access to the personal information we hold about you.
- Ask us to correct or update inaccurate information.
- Ask us to delete your information or withdraw your consent.
- Raise a concern or grievance about how we handle your data.

7. Children's privacy
Our website and services are intended for businesses and adults. We do not knowingly collect personal information from children under 18. If you believe a child has sent us information, please contact us and we will delete it.
8. Links to other websites
Our website may link to third-party websites. We are not responsible for their content or privacy practices, so please review their policies separately.
9. Changes to this policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top shows when it was last changed. Continued use of our website after changes means you accept the updated policy.
10. Dental Clinic Manager app
This section applies to Dental Clinic Manager, the clinic management app we publish for dental clinics. It is used by clinic staff (doctors, assistants and reception), not by patients directly.
Information the app collects.
- Staff accounts: name, email address, phone number, role, and a password (stored only as a secure hash).
- Clinic records entered by staff: patient details such as name, contact details, age, medical history, visits, treatments, prescriptions, lab work, appointments, payments and expenses.
- Photos and files: images or documents staff choose to attach, such as uploaded prescriptions. The app only accesses the specific files you pick; it does not scan your photo library.
- Device information: a push notification token for each signed-in device, and technical logs (such as IP address and request times) needed to keep the service secure.
Who controls clinic records. Patient and business records belong to the clinic that enters them. The clinic decides what is recorded and is responsible for having a lawful basis to record it. We store and process those records only to provide the app to the clinic.
How the information is used. To sign staff in, show and sync the clinic's records across its devices, send reminders and alerts, and keep the service secure. We do not show ads, do not use analytics or tracking SDKs, and do not sell or share clinic or patient data for marketing.
Storage and sharing. Data is sent over encrypted connections (HTTPS) and stored on servers operated by us or our hosting providers. A copy of the clinic's records is kept on each signed-in device so the app works offline. Push notifications are delivered through Google Firebase Cloud Messaging, which receives the device token and the notification text. We do not share data with anyone else except as described in section 3.
Retention. Clinic records are kept while the clinic uses the app, and for as long as needed to meet legal requirements for medical and financial records. A clinic can ask us to delete all of its data when it stops using the app.
Deleting your account. Staff can delete their own account in the app under More → Security → Delete account, or by emailing us. Your name, email address, phone number, password and sign-in sessions are deleted; the clinic's records are kept and show "Deleted user" in place of your name.
